RS Pondok Indah Group clinches first Stage 7 EMRAM in Indonesia

Meeting the EMR maturity model requirements has improved patient safety and data accuracy at the group’s hospitals.

RS Pondok Indah Group has become the first in Indonesia to be validated for Stage 7 of the HIMSS Electronic Medical Record Adoption Model

All three of its hospitals – RS Pondok Indah - Pondok Indah, RS Pondok Indah - Puri Indah, and RS Pondok Indah - Bintaro Jaya – have been validated for the eight-stage model that assesses an organisation’s maturity in EMR capabilities.

WHY IT MATTERS

Following its Stage 6 validation about three years ago, RS Pondok Indah Group undertook the Stage 7 EMRAM pre-assessment process. One of their biggest challenges as they embarked on this journey to the next stage was implementing a drug batch number tracking system for adverse event reporting. 

"This project required a thorough analysis as it involved significant changes to workflows across multiple departments, including physicians, warehouse staff, pharmacy, and nursing," RS Pondok Indah Group CEO Dr Yanwar Hadiyanto shared in an interview with Healthcare IT News

He added that these changes represented additional work for staff, as all users would need to focus on detailed batch number information rather than just item data. On top of that, drug transaction volumes were also increasing. Despite these challenges, after extensive discussions with end users and trials of multiple scenarios, the hospital group successfully implemented drug batch number tracking.

During its Stage 7 EMRAM validation, RS Pondok Indah Group showcased its digital patient journey project. This initiative was designed to meet the growing demand for faster and more efficient processes.

"To facilitate this transition, we focused on minimising physical document exchanges, speeding up service processes, reducing no-show rates, enhancing data accuracy, lowering operational costs, and promoting environmentally friendly practices," chief IT officer Imam Daru Nurwijayanto explained.

Key features of this project include appointment reminders with embedded confirmation links, electronic new patient forms, and the automatic dispatch of Net Promoter Score feedback forms.

RS Pondok Indah Group observed that digitalising the patient journey resulted in a lower appointment no-show rate from 20.1% to 13.9% at RS Pondok Indah - Pondok Indah, 15.1% to 12.4% at RS Pondok Indah - Puri Indah, 16.7% to 12.6% at RS Pondok Indah - Bintaro Jaya and significant wait times improvement by 22% at RS Pondok Indah - Pondok Indah, 72% at RS Pondok Indah - Puri Indah, and 26% at RS Pondok Indah - Bintaro Jaya. HIMSS validators also noted how this project helped save the group IDR 280 million ($17,000) annually in call centre costs.

During the Stage 7 validation, HIMSS also found RS Pondok Indah Group's "one QR code" approach for outpatients particularly commendable, as it allows patients to register, book appointments, access results, and handle billing through a single entry point.

The hospital also received praise for its bedside Smart Medical Broadcaster application that provides real-time access to lab results, billing, and food orders. Additionally, HIMSS noted RS Pondok Indah Group's implementation of structured clinical documentation templates across key workflows, which signals its readiness for advanced analytics, and its development of various dashboards to monitor operational and clinical indicators.  

After meeting HIMSS's requirements for Stage 7 EMRAM, RS Pondok Indah Group noted several clinical and operational improvements.

"By maintaining detailed transaction records up to the batch number of each medication, we can now track its usage and ensure patient safety. The integration of vital sign monitoring with an early warning system dashboard has improved data entry accuracy. Additionally, integrating ICU devices has alleviated the administrative burden on nursing staff, resulting in increased data accuracy and improved quality of patient care services," Nurwijayanto shared. 

THE LARGER TREND

RS Pondok Indah Group was also the first healthcare organisation in Indonesia to be validated for Stage 6 EMRAM in 2022. The hospital group is now preparing for an assessment against the HIMSS Digital Health Indicator and will address key improvement areas identified during its Stage 7 EMRAM validation, including medication labelling during dispensing, clinical decision support, and order sets.

This year, three Indonesian hospitals were validated for EMRAM Stage 6: Semarang Medical Center (SMC) Telogorejo Hospital in Central Java, EMC Grha Kedoya Hospital in West Jakarta, and Bethsaida Hospital Serang in Banten.
